Overview

Principle is seeking a full-time Executive Assistant to join our team to support our Founder & Design Director in our dynamic and growing organization. The successful candidate will be a proactive and detail-oriented individual who can easily manage multiple tasks while providing exceptional support to our executive team and stakeholders. We are looking for someone self-motivated, proactive, innovative, and who demonstrates interest and passion in real estate development, city planning, and design-related topics. Because Principle works on several projects simultaneously, strong attention to detail, excellent organization, and oral and written communication skills are necessary.

Key Responsibilities

  • Manage the Design Director's calendar, schedule appointments and meetings, and organize travel arrangements.

  • Maintain and update files, databases, and other records related to the Design Director's work.

  • Coordinate with internal and external stakeholders to ensure timely and accurate delivery of information, reports, and documents.

  • Attend meetings, take notes, and prepare meeting minutes and action items.

  • Provide administrative support to the Design Director and other team members as needed.

  • Manage special projects and initiatives, and assist with other duties as assigned.

  • Ensure confidentiality and security of all information related to the Design Director's work.

  • Contribute to the team effort by accomplishing related tasks as needed.

Additional Responsibilities

  • Help maintain and cultivate a positive company culture.

  • Act as a liaison between the Design Director and other team members, ensuring effective communication and collaboration on all projects and initiatives.

  • Assist with developing and implementing company policies and procedures, including documentation and management of standard operating procedures.

  • Work with the Design Director and other stakeholders to establish and meet company-wide standards for quality, service, and creativity.

  • Serve as a resource for employees seeking information about company policies and procedures, and provide guidance on how to adhere to established standards.

  • Assist with the planning and execution of employee training programs related to company policies, procedures, and standards.

  • Continuously monitor and evaluate company processes and procedures, identifying areas for improvement and implementing changes as needed.

  • Maintain an organized and up-to-date database of company policies, procedures, and standards, ensuring that all relevant stakeholders have access to this information.

Qualifications

  • Bachelor's degree in Business Administration or a related field

  • Minimum of 3-5 years of experience as an executive assistant, preferably in a creative industry

  • Strong organizational and time-management skills, with the ability to prioritize tasks and meet deadlines

  • Excellent written and verbal communication skills, with the ability to effectively communicate with all levels of the organization

  • Proficiency in Office software, MS Office, Google Suite, etc.

  • Strong attention to detail and problem-solving skills

  • Ability to maintain confidentiality and handle sensitive information with tact and discretion

  • Ability to work independently and collaboratively in a fast-paced, dynamic environment
